All of our clinics use WebPT's EMR, billing, and patient outreach solutions. WebPT works for us for our entire patient process, from intake to discharge. WebPT allows us to receive intake forms electronically, which are added directly to a patient's chart, schedule and send reminders out via email/SMS text, document patient treatment and upload other documents, bill claims and patient statements, receive payments and reach out for automatic follow-ups or satisfaction surveys.

WebPT is a well-priced comprehensive solution for physical therapy clinics of small-to-midsize. It could use more support for occupational/speech therapy combined clinics and may not be ideal for large businesses that can afford more directly catered solutions. However, it is a stable and multipurpose platform with a great deal of options for PT/OT/ST clinics nonetheless. It allows you and your staff to completely manage the entire patient process digitally and with a great deal of connectivity between different phases of the patient process. This avoids the inefficiencies of relying on paper documentation and communication issues and saves time with the automation available for scheduling and patient outreach.

We've used WebPT as our EMR with good success. It's a great company with great product and very pro PT. Improvements to EBV would be helpful for us, we tried it for a few months however the benefits sheet was very lengthy, not only related to PT, and not correct for some patients.

The software is very user friendly, simply, compliant, etc. Again the WebPT conference is always great, helpful info, good relationship building, and great for our company and the profession. We use this company's EMR. I would definitely not recommend this product. In my experience, the Zoom feature is inconsistently not working (and not included in the base price), and I feel they do not follow requests made for integrating billing clearinghouse. They turn off billing access to one company and I believe then piecemeal you other tasks that prevent you from billing. If you don't intend to use Therabill as your clearinghouse in perpetuity, I would absolutely avoid this product.
  • Login is easy
  • Documentation templates are somewhat customizable
  • They have a scheduling feature.
  • The connection between their partner software (Theraplatform) often omits superbills, so unless you're comparing both websites daily, you won't end up submitting all of your claims.
  • When you try to switch clearinghouse companies, they turn off your connection to the original clearinghouse prematurely and then piecemeal tasks you need to do before they will start a nre connection.
  • Their Zoom platform often won't let clients enter the meeting. In my experience, when you complain about it, they send you the instructions for how to use Zoom rather than investigate the problem.
I feel that if your company is smaller and depends on monthly income to stay afloat, this is not compatible.

WebPT is currently our documentation system for my cash-based Physical Therapy company. The documenting section is very easy to learn. They make it easy to customize evaluation templates and add or subtract things for each individual patient. I stopped using the home exercise program because I was having difficulty finding the exercises I wanted. The customer service is very helpful and easy to get ahold of, and in my experience, they have been able to resolve any issues quickly.

We use WebPT as our physical therapy EMR as well as for our patient scheduling tool and for our revenue management cycle. We also use WebPT to process credit card transactions, send invoices for non-insurance based services, and maintain our staff admin and support tasks via the scheduler. WebPT also provides analytics that we use for monthly reports and performance reviews.

The EMR can be used for nearly any PT for any type of patient but you can get caught up in all the drop-down boxes that may not be relevant—these do not show up on the note if not used so skip the ones you don’t need.
The RCM is priceless with the way you bill straight from the EMR and easily apply modifier, time codes, and flag denials/mistakes. I would like to see management of some denials come back to us faster, though as our >180 A/R gets fairly high and corrections/addendums are required in this bucket so far down the road.
The scheduling tool is amazing and very easy to use!

Our business utilize as one PT for all day today operations of running it was tubular outpatient physical therapy practice. We have used WebPT for six years and plan on using for the foreseeable future as long as the service remains as dependable and affordable as it currently is! Compared to other systems the organization and ease of use make it an invaluable source for business efficiency.

I am a 15 year user of WebPT including their patient intake, scheduling, EMR, HEP, clinical outcomes, and patient engagement modules. Until recently I was a proud and loyal WebPT consumer. However, my team experienced an extremely high volume of recurrent technical issues during all of 2022 and continued into 2023. We promptly brought these to the attention of WebPT's support team and were frankly not impressed with their communication, technical solutions, or promptness in resolving the issues. When we experienced a clear pattern of the same support issues occurring across multiple different patient accounts we emailed, called, and took Zoom meetings with out "Success Manager". When WebPT still did not address our concerns I took a live in person meeting with a WebPT "Member Success Manager" at the American Physical Therapy Association Combined Sections Meeting to in San Diego to again voice my strong concerns about the poor functionality of the software, related poor support, and negative impact on my clinic finances and morale. Per their request I emailed to re-iterate the same information to the "Success Leader". The subsequent Zoom meeting with the WebPT management was simply the most disappointing experience I have experienced with any vendor in 23 years of clinical practice, 20 years of clinic leadership, and 13 years of private practice. I next attempted to contact Ashley Glover, CEO of WebPT who I met at the Combined Sections Meeting. When I did not receive any communication I felt it was reasonable to reach out to my personal and professional friend Heidi Janega the founder of WebPT and was told Mrs. Golver would be in touch. I have yet to hear from her. During the meetings I described I was told my complaints were not valid and that the support issues were fixed. If the same issue occurs across numerous patient accounts is absolutely not fixed. Rather it is a recurring pattern that negatively impacts patient care, business efficiency, and the work/life balance of our team. It was also clear they had not reviewed the information they mandated I provide prior to the meeting or their own notes on the numerous support issues. I was also told WebPT is not the same company as before and that we may not be a good fit for them. Well, we may finally have a point we agree on. WebPT may now feel they are too big to fail but I can tell you they may be big enough to fail your clinic.

We use WebPT for all of our clinical documentation, billing, and scheduling.
  • Documentation templates are thorough and customizable.
  • Scheduling is intuitive and has integrated client reminder functions.
  • Clinical documentation is tied closely to billing, which helps manage compliance issues.
  • The home exercise program lacks the ability to prescribe or easily store custom exercises. Many of the exercises my staff uses are not included in the library. The process of adding exercises to the library is prohibitively cumbersome.
  • The ability of Therabill staff to address billing problems that involve the clearinghouse is extremely limited. There is no ability for the user to communicate directly with the clearing house to resolve issues. We have had several critical goes unresolved.
  • WebPT's "downtime" seems to be increasing. We have had 4-5 instances of login issues over the past six months.
  • The availability of tech support is inconsistent. Sometimes we are able to reach a representative within minutes, other times it can be 30-40 minutes. This does not meet expectations, given the price point of the software.
  • The user interface with Therabill is cumbersome. Rather than having access to multiple functions from a single client account, the interface requires frequent navigation back to a home screen. For example, entering an insurance payment is done through one function on a home screen. If this payment results in a client balance, managing that bill requires navigating back to the home screen and then accessing a "bill client" button.
WebPT is well suited for day-to-day physical therapy documentation, scheduling, and insurance billing. The learning curve for operating the billing software is fairly steep, requiring a fair amount of training, even for experienced staff.

Currently, I support the Office Manager and Office Assistant remotely. Our main problem is keeping track of patients and making sure they are scheduled. We use the lost patient reporting, which is helpful.

Great for notes, well integrated with billing, does a great job with patient follow-up, and is easy to schedule patients. As with all software programs, upgrades often bring difficulties. When this happens, we have a pretty rough day. Thankfully, it doesn't happen much. When everything is working well, WebPT offers a seamless solution to run our entire practice.

WebPT was our first move into electronic scheduling and medical records back in 2014. As the person that was responsible for building the schedule and importing medical records, I found that I really enjoyed the customization options for the schedule. We opted for a color coded schedule based on payer source. The price point was competitive to other EMRs out there. We have since swapped to a new EMR, but maintain WebPT for medical records. We wanted to handle our own billing but do it through the software we were using, so we made the decision to switch. I'm not sure what is offered at this time though. I've also found that WebPT offers more customizable patients records. Such as the ability to have new cases within each chart, the ability to write a progress note without a doctors signature. I also appreciate that WebPT is always up to date on information and providing webinars and articles to help educate the therapy community on what is currently going on and what's to come, with that information being available to anyone, regardless of their status as a WebPT customer. I still reference WebPT articles on a regular basis and have often found that they are the easiest to understand and have the most beneficial information. I haven't seen many other EMRs that offer that kind of information.

Customization is key. Literally. The ability to customize the schedule, the ability to write notes without signatures, the ability to create individual cases within a chart. Those are all things I can say beyond a shadow of a doubt that I appreciated greatly in WebPT. I would say that increased reporting options would be nice. We were limited to only a handful of prebuilt reports in WebPT, where as other EMRs offer custom report options for users to build and work off of.

We use WebPT for our scheduling, documentation and customer connection. They have a comprehensive product with additional add-ons available. They have always been a leading source of accurate info and quality service in the industry.
  • We can rest easy knowing that the latest ICD-10 codes are going to be in the system, along with any modifiers that are needed. WebPT won't finalize a note unless it is correctly organized.
  • The scheduling module makes it easier to add a patient's schedule and track it. There are email reminders included with the system so that our patients don't forget their appointments.
  • The new analytics component is a great tool! We can keep an eye on key metrics to catch issues before they get too big.
  • There are many reports you can run to keep things running well!
  • Charges easily flow over from WebPT to our billing software.
  • I do wish that in addition to marking an original document as "AMENDED" when a change is required, they would inset or in some other way highlight any amended text in the final copy.
  • Though it is rare, the system does occasionally go offline. Those times are usually fairly brief. They hardly happened at all the first 7-8 years but there have been a few more issues in the last couple years.
  • When we started with WebPT, we could call and get instant customer service. Now we have to email or leave a message and wait for a reply. The response time is much slower than it used to be.
WebPT does the basics well and has many things you can pay to add. They are trying to have a connected system that addresses all your needs. Chiropractors are now being supported as well. They seem to be growing a bit too fast and are in danger of losing their quality support.

Scheduling, verifying benefits, creating and using patient portals and demographics. Not many problems, but the patient portal could be smoother. Sometimes there are duplicate accounts, and it would be nice if web pt could auto-merge based on name or birthdate.

We use WebPT for our scheduling, EMR, and Reach, and Billing service primarily on the daily. Weekly we use the analytics and outcomes. This site offers an easy way to schedule patients on whatever server you are using the internet on. I can use the same login for our multiple clinic locations with ease of use.
  • Documentation system is very easy to use compared to other products.
  • The text message reminders are pretty consistent for our patients convenience.
  • The internal messaging system is new and we really enjoy using it for quick notes to other employees.
  • The tracking of expiring POC I think get alerted too early and we start to ignore the warnings because they come to frequently, when not needed.
  • It would be nice to have a delete all appointments button added. I know that there could also be reprocussions for having that sort of capability, but sometimes we have a patient scheduled out for MANY appointments when they are then self d/c for whatever reason, and it causes a lot of time for the front desk employees to go through and delete everything.
  • Moving appointments has glitches when you click, hold and move. That could use some updating.
In our physical therapy clinic this is a great and easy software to use. We only have PT in our clinic so I cannot say how well it is for other services; however, I can see this working well for any type of therapy provider. We use TheraBill for our billing and sometimes the transfer of information from WebPT to TheraBill can be frustrating due to programming from one software to another. Things have to be triple checked due to this.

We use it for our CRM and EMR, meaning that we use it for both patient intake, scheduling, and documentation purposes, as well as for patient communication such as automated emails for checking in, birthdays, and campaigns such as re-activation and review campaigns. These features help us to maintain high placement on search engines and effectively communicate with patients.

Great for clinics with a wide variety of specialties, easily customizable for documentation. Reach is great for keeping track of patient satisfaction and keeping in touch with patients while they are active and long after they are discharged. Web PT is used all day and every day at Boomerang Therapy Works. We use it to schedule patients, and document their care at time of service. We use it to fax our plan of care to the MD, and do all evaluations, progress notes, and daily notes. It is a fabulous scheduling system that allows us to color code types of visits, meetings etc so that it is easy to read for our administrative team.

I think that the scheduling and documentation system are well done, it is very very nice that WebPT keeps up with all the changing compliance issues/requirements so that the clinician can focus on taking care of the patient. WebPT allows for easy continuity from visit to visit so that the clinician can track what was done previously and then make easy adjustments. I have not used their billing system in a number of years, but when we did it did not work smoothly in the Pacific Northwest.

As a software tool, WEBPT is designed to compress and decompress medical images using a wavelet-based approach. This technology reduces image size without compromising their diagnostic quality, which can help improve image transfer times, reduce storage requirements, and facilitate remote access to medical images. I use WebPT to schedule and document patient visits and to flow charges over into Therabill for billing insurance companies. Before using WebPT, it would have been nearly impossible for me to bill insurance companies, because of the extensive paperwork involved—WebPT makes that much easier.I also have experience training an administrative assistant to use it. Even though the admin was not particularly computer savvy, she was able to easily learn to navigate the program.
  • The ability to customize documentation to suite the needs of individual clinicians.
  • The ability to share calendar as well. Also customizing each persons calendar to see their needs and roles.
  • The ability to take that information and synthesize it into a billing program, whether that’s WebPT Billing or Therabill, is a game changer for a small practice
  • I wish I could quickly add a potential patient by just adding their name and phone number and not being forced to know other demographic information before adding them to the system. Then, ideally, this potential patient would have some kind of red flag next to her name, alerting others that her information is incomplete.
  • I wish the use of WebPT and add-on features (like benefits were discounted for companies that are extremely small.) WebPT is quite expensive when you only have one therapist working part time. I wish the base rate were lower and adding additional therapists were higher. This could allow WebPT to make the same amount of money while matching cost to benefit more accurately for the clinic.
  • I wish I had the ability to customize reports more. For example, I would like to be able to run a payment log report and pull payments that are deductibles, copayments, and coinsurance, but not the other types.
If you are a solo practice like mine, and you want to bill insurance, I think WebPT or similar software is necessary. If I did not bill insurance, software, like where PT is not nearly as important. For a small (especially solo) practice, the extra features that WebPT offers seem like they would be very nice, but are cost prohibitive.

Our PT's use WebPT to streamline and make patient care not only easy and quick, but thorough and efficient. We have tried other EMRs and nothing beats WebPT in all categories. The billing portion as well makes claims and reporting to senior admins happy with our results. The fact that it is web based makes it easy to use anywhere you have an internet connection.

WebPT is best suited in a clinic with at least 3 PT's and supplemental PTAs. WebPT allows the staff to multi task and provide care to many more patients without sacrificing patient care. The only time it wasn't the best was when our internet was down. As WebPT is a internet based solution, it kinda does require a persistent internet connection.

We use WebPT for scheduling, patient charts, tracking payments, and documenting medical services. I like how the patient charts are organized. They make it easy to find information. The treatment notes and documentation are straightforward to use, which I appreciate as a biller. I also like that I can access the EMR from anywhere since it is cloud-based.

WebPT is great for practices with multiple therapists. It's really helpful to have a cloud-based calendar that all employees can access. If you are practicing with only one therapist, it may not be necessary to use WebPT.

We use WebPT daily to schedule our patients and document therapy provided.
It makes managing the schedule fairly easy as well as to document.

  • In my experience, the patient data base search is very limited when searching by name. Very frustrating when looking up someone you know is in, but the name won't come up. It work better with date of birth but this is not the 1st thing that comes to mind when search. Quick searches does not work with WebPT ID, only in Advanced Search, it being an example of extra clicks needed.
  • In my opinion, poor contact management, patients are not in the contact manager, so they need to be added if you want to email or fax them info from there EMR...
  • Limited details when searching a physician's info and referral history, there is a list of referral but no date range of when each one was last seen...

I use the EMR function to document on all of my patients in a cash-pay PT practice. My practice is based on developing and maintaining home exercise programs for my patients as well as using the chat feature of the HEP to continue to maintain communication in a concierge setting.
  • The user interface for the EMR is friendly and I can usually document quickly.
  • Setting up templates is easy and allows for a degree of customizability.
  • The HEP allows for HIPPA compliant communication between practitioner and patient.
  • Customer service has slowed down significantly.
  • I have been told for years that there is an update to the HEP program that will fix several significant bugs.
  • The company as a whole has shifted focus away from assisting practitioners with quality patient care. In my opinion, the health and well-being of my patients and their concerns has been sacrificed so that the company can make themselves feel good about "DEI."
Of all of the PT software suites that I've used, WebPT is the best platform. I especially like how the HEP is integrated into the documentation and it allows for chatting back and forth between patients and therapists. It is easy for me to track my patients' progress and update their care plans. There are several glaring glitches that need to be addressed. The company has assured me of an upcoming "update" that has been used as a dangling carrot for several years. In the meantime, there have been several changes that have been made to satisfy the company's quest to improve "DEI". In my opinion, these "DEI" updates have come at the sacrifice of quality patient care as there is a clear neglect for appropriate therapeutic intervention in the way these changes have been executed.

We use WebPT as our EMR for documentation purposes at our outpatient physical therapy clinic. As the owner of the practice, I also use the analytics aspect of WebPT to set productivity goals for the clinic, therapists, and office managers. WebPT handles the ability to keep our notes organized, billing correctly, cloud based storage for each patients documents, and easy access to demographics and details of each patient's case.

As a staff physical therapist I felt the program was very well suited specifically for daily physical therapy use, specifically documentation. We use WebPT to manage our Occupational Therapy practice and maintain a paperless practice. <br>Overall, WePt is probably one of the best systems out there for basic scheduling, recording of patient data and use with evaluations, daily notes and progress reports. They do a fair to good job with creating a platform where several different kinds of clinics, both PT and OT can effectively use this platform. There is room for improvement where WebPT offers a platform for such suggestions. Support is pretty good, available through chat and phone call, wait can be a bit long but all workable. <br><br>Problems with this platform are few yet greatly effect the use of a paperless system. 1. The "send intake invitation" offers an incomplete invitation to the patient which makes my practice look bad. The patient is unable to upload their ins. carrier, diagnosis, MD name and case. This adds an extra step to call the patient back and requires us to manually add this info. Lousy. 2. We are unable to add a link to upload our intake docs in the form of a pdf. 3. Text reminders are not customizable to offer patient valuable infor particular to a clinic or location,for example a gate code. Limits to upload PDF/pics are low often dis-allowing us to add documents into the patient's electronic medical records. 4. The changing insurance company efforts to make reimbursement more difficult require a "Rx" not a progress report or plan of care as the title page where the MD can sign for many exchange insurance carriers. The title of that page needs to be changed to indicate Rx allowing the MD to merely sign and fax return that report. Currently, we send the progress note and a google doc Rx for the MD to sign, double duty and a real time suck. We do this to maximise the quick and efficient processing of claims for reimbursement as recommend by our biller who has over 20 years of experience in this field. <br>These are a few of the more critical points I have written to WebPT about over the years, no change to date. If I had more time, I would create my own platform with an engineer and support it with quicker responses to the ever changing industry of health insurance. I would use WebPT for bill pay an other services they offer yet lack the confidence they are able to manage an even more complicated field when they fail to excel in their basic platform.
